Thermal receipt printers: how they work and how to choose one

A thermal receipt printer prints by heating: its printhead is a row of tiny heating elements, and the paper is coated with a chemistry that darkens where heat touches it. No ink, no toner, no ribbon — the paper is the only consumable, which is why thermal printing owns the receipt world: it is fast (a full receipt in about a second), nearly silent, and mechanically simple enough to survive years at a busy checkout.

The choices that actually matter

  • Paper width — 80mm is the retail and restaurant standard with room for logos, QR codes, and readable item lines; 58mm is compact and cheaper, common for cafés, kiosks, and mobile setups. Pick by how much needs to fit on a line.
  • Connection — USB is the reliable default for fixed checkout lanes (no network dependency, no pairing drama); Ethernet suits kitchen printers far from the terminal; Bluetooth and Wi-Fi trade reliability for mobility and are best reserved for genuinely mobile use.
  • Auto-cutter — full or partial cut after each receipt. At any real volume this is not a luxury; tear-bar-only printers slow every transaction slightly, forever.
  • Speed — spec sheets quote 200–300 mm/s; anything modern is fast enough for receipts. Speed matters more for kitchens printing long tickets during rushes.
  • Cash-drawer port — the RJ11/RJ12 socket on most receipt printers pulses the drawer open on command; if a drawer is part of your counter, confirm the port exists.
  • ESC/POS compatibility — the software question; see our ESC/POS guide. Nearly universal, but verify QR-code support if your receipts need it.

What does not matter much

Brand prestige, mostly: the premium names (Epson, Star) earn their price in heavy-duty duty cycles and warranty service, but mid-range and generic ESC/POS printers handle typical small-business volume for a fraction of the cost, and the failure mode is usually the auto-cutter years in. Print resolution is uniform enough (203 dpi standard) that receipts look identical across brands. Bundled "driver CDs" are also ignorable for POS use — raw ESC/POS printing through a bridge does not depend on vendor driver quality, which is precisely the point of using one.

Care, and the software half

Two operational notes that save support calls: buy decent thermal paper (bargain paper leaves residue on the printhead and fades faster than warranty seasons), and clean the printhead occasionally with isopropyl alcohol — the single maintenance act that extends printer life most.
